FFS events are 100% volunteer-run which means we need your help.  
Reach out to any FFS board member, chairperson or coordinator if you would like to help or just show up at one of our monthly FFS/PTA association meetings.  See our calendar for meeting dates and time.

Volunteer Role Descriptions

Recording Secretary

The recording secretary position goes to all board and association meetings taking the minutes using the agenda as reference.  During the meeting two people are picked volunteer to approve the final minutes. After the meeting, about 10 minutes is spent finalizing the notes before sending to the president for first approval. Then they go to the appointed members for second and final approval.  The final minutes are uploaded to Google drive for further reference if needed by board members. Attend 2 meetings per month and take minutes/notes during the meetings.

VP Events

Responsible for attracting, tracking and communicating with volunteers, as well as delivering events tied to FFS's arts program. Key events will be TK/K event, Picnic, Talent Show, Dance performance and ad-hoc volunteer recruitment events.

Responsible for:
  • Volunteer recruitment: Deliver events, including TK event, picnic and ad-hoc screening events for volunteers.
  • Maintain a database of cleared volunteers and those who have expressed an interest in volunteering (will work with school office and PTA)
  • Support volunteer recruitment across all FFS events 
  • Work alongside the FFS president to support delivery of the Stevenson Talent show and the Arts Program Director to deliver the Dance shows. This will typically involve 
    •  producing and distribution materials to promote the event (such as  banners, flyers, parent blast emails, room rep email, facebook updates and website updates (will work with the VP and FFS designer to produce)
    • Promoting volunteer opportunities
    • Being on hand to organise and deliver the event, this typically involves organising appropriate facilities sign offs, drawing up schedules and helping coordinate activities on the day.
  • Admin: ensure all spend is tracked and that events budgets are being stuck to. Produce a short update report on events for each board meeting. Attends 4 board meetings per year.​

VP Arts

  • Keep in contact with the different arts programs instructors to give updates at board and association meetings
  • Assist in finding new arts programs instructors when necessary 
  • Coordinate the optional classroom art projects for the auction
  • Coordinate the all school dance presentation that culminates the end of the Fall dance program
  • Coordinate Read Across America activities - Co-organizing author visits for Meet the Author sessions, and setting up the Barnes and Noble Book Fair
  • Coordinate the fourth grade film festival
  • Work with the Communications Designer to help create flyers to promote arts programs and corresponding events

Treasurer

Time Commitment: 10 hrs/month on average

​The Treasurer is an accountant who helps keep track of the budget and forecasting. Pull reports to see what's been spent and made in previous years to maintain history for the curtain board. Attends 2 meetings per month, keeps track of the income and expenses using Quickbooks, helps manage sales in Square, and shares reports when needed.

From the BUSD FRC Manual: "Committee Finance Chair: (Formerly Treasurer) Serves as the Treasurer for the Committee. Responsible for monthly financial reports with the site Office Manager and sharing the financial reports at the monthly fundraising committee meetings at large."

VP Fundraising

Responsible for delivering 4 key fundraising events each year (Snow Glow, Winter Auction, Kind-a-thon and Stevenson Rocks)

Responsible for:
  • Event Promotion: Agreeing event theme and organising producing and distribution of  materials to promote the event. This may include banners, flyers, parent blast emails, room rep email, facebook updates and website updates (will work with the VP and FFS designer to produce)
  • Attract volunteers: Need to recruit Event Chairs for each event (4 total).  Agree what volunteers are needed for each event and produce sign up forms. Promote volunteer opportunities (will work with the Events Director (volunteer recruitment and programmes as appropriate)
  • Deliver the event: Work alongside the Event Chair to support event delivery: This is the most hands on part of the role and typically involve sourcing decorations/ venues/ food providers/ donors and and agreeting/ organising event activities.
  • Admin: ensure all spend is tracked and that events budgets are being stuck to. Produce a short update report on events for each board meeting. Attends 4 board meetings per year.
